About The Role
Be at the operational heart of parish church and its role as a key community venue. We are an established part of local life in the Pitshanger area of Ealing, offering an inclusive church worshipping community and a lively hub for local residents. The church has a reputation for regular concerts and for professional recordings, we run a weekly Memory Cafe and Food Pantry, and our beautifully appointed Halls are hired through the week to local businesses and organisations for all age groups. Working as part of a friendly team of volunteers and paid staff, you will be responsible for: managing all bookings for our halls and church, acting as the first point of contact, and scheduling our bookings calendar for shared use; using our cloud-based accounting platform to manage invoices and payments, both in-bound and out-bound, and to keep day-to-day records for our efficient year-end financial reporting; working with our Ministry Team to support our worship life in practical ways and being a welcoming presence for everyone who contacts our office; assisting our Premises Manager in the admin side of our site, licences and maintenance records. Site management administration;
Hirers and Bookings – taking new enquiries, as well as managing our longer-term bookings and payments
Finance and ExpensePlus – invoicing, reconciliation, courteous chasing of late payments, parish-related church payments, provide updates and reports as needed
Office Admin and Worship Support – maintaining and facilitating the practical aspects of parish life, including updating the website
The post reports to the Vicar (or nominated churchwarden); The Office Manager works closely with the Ministry Team, Wardens, PCC, Premises Manager, and liaises with the external book-keeper at year-end.
Training will be provided on ExpensePlus and for website editing (if required)
• Confident using cloud-based software systems, with the ability to learn new platforms quickly. (ExpensePlus training will be provided)
• Comfortable with financial administration — invoicing, payment tracking, basic bookkeeping — without needing a formal accounting background.
• Strong communicator with a welcoming, professional manner.
• Able to manage a varied workload, prioritise well, and work independently.
• Methodical, detail-oriented, and calm under pressure.
• Reliable and consistently available across the working week.
