As Parish Administrator you will:
• Maintain and, where necessary, devise efficient and accessible office systems, including data management and filing
• Organize and maintain the online Parish Calendars and Diaries and make appointments and bookings on behalf of others
• Prepare and attend the weekly Friday morning Team Meeting
• Often be the first point of contact with people from both inside and outside our organisation
• Screen phone calls, emails, enquiries and requests, handling them yourself when appropriate or assigning them to another team member
• Deal with incoming emails and post and maintain a Post Log
• Meet and greet visitors of all kinds from rough sleepers to members of the Royal Family
• Produce documents, briefing papers, reports, presentations, weekly bulletins and Orders of Service to an exceptionally high standard
• Maintain Notice Boards, Leaflet Racks and Sales Table
• Assist the Secretary to the Parochial Church Council and Wardens in preparing papers for meetings
• Produce information posters, parking reservations notices, daily sheets and rotas
• Prepare, upload and send out the weekly eNewsletter Portico and update the parish website and other Social Media platforms
• Complete with accuracy legal registers and, where appropriate, make annual returns and assist in compiling the Annual Report
• Assist the Electoral Roll Officer in his/her duties of compiling and maintaining an accurate church membership list
• Liaise with The Daily Telegraph over Sunday listings and with The Church Times and Church of England Newspaper and other publications as necessary
• Liaise with clients, suppliers and other team members
• Authorize eBanking transactions following strict guidelines an protocols as set out by the Parochial Church Council
• Order stationery and other supplies as necessary
• Help with the preparation for and the delivery of the Annual St Marylebone Festival

As the Rector’s Personal Assistant you will:
• Be an excellent Parish Administrator to ensure the smooth running of St Marylebone
• Help the Rector in making the best use of his time by managing his diary well
• Respect St Marylebone’s aims and objectives as a place of active and engaged Christian worship and outreach through 900 years
• Work efficiently and effectively in the Rector’s absence and, at all times, demonstrate that you can work with the utmost discretion and be able to deal with sensitive matters confidentially
